Overview:

The Sales Project Coordinator is a primary customer-facing position for our Sales Division and is responsible for providing outstanding service to customers before, during and after a purchase. It is the responsibility of the Sales Project Coordinator to maintain and continuously improve a set of specific activities designed to enhance the level of customer satisfaction by ensuring that a product or service meets their expectations.

Customer Service-related responsibilities include but are not limited to:

  1. Helping the customer make the right decision in product selection.
  2. Creating internal purchase orders and working with the procurement team.
  3. Demonstrating broad knowledge in terms of equipment capability and compatibility with peripherals to the customer.
  4. Maintaining and communicating deliverable timeframe to customer and sales staff.
  5. Researching and documenting information on new customers, including:
    1. Credit card authorization
    2. Credit references
    3. Tracking payments
    4. Tax information
    5. Insurance certificates
  6. Verification of Order Fulfillment paperwork to ensure order completeness.
  7. Provide sales assistance to the current sales team.
  8. Research product information to create and/or modify quotes based on customer needs.
  9. Confirm estimated time of arrival (ETA) with manufacturers on pending orders. Provide updates to the sales team and customers.

Project Management-related responsibilities include but are not limited to:

  1. Oversight of the entire life cycle of order management, fulfillment, shipment, and post order for all new inventory sales.
  2. Completes all customer and internal projects on time, to specifications, and with accuracy and efficiency.
  3. Generate assorted reports and forecasts as needed by department managers.
  4. Addresses questions, concerns, and/or complaints throughout the project/customer orders. 
  5. Acts as a liaison between the company, customers, and vendors.

Warehouse and Inventory-related responsibilities include but are not limited to:

  1. Coordinate with the Logistics team to create shipments and organize all BOL documentation
  2. Communicate tracking status of outbound orders to confirm delivery.
  3. Receive inbound customer inventory and perform Quality Control inspection for accuracy and completeness.
  4. Solving delivery issues, including:
    1. Shipment tracking
    2. Client communication in terms of item deliverables
    3. Status updates
    4. Manage back-order status

Supervisory Responsibilities:

This position does not have any supervisory responsibilities.

Work Environment:

This position operates in a professional office environment. This role routinely used standard office equipment such as computers, phone, photocopiers, filing cabinets, and fax machines. Other locations may include warehouse environments and are regularly exposed to heavy machinery and noise.

Physical Demands:

Walk, sit, stand, bend, lift, and move continually during work hours. Is subject to lifting over 50 pounds.

Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of office operation are Monday through Friday 8:00am to 6:00pm. Occasional evening and weekend work are required as job duties demand as well as a 24/7 rotational on-call schedule.

Travel:

No travel is expected for this position.


Required Education and Experience:

  • Minimum of one year experience in A/V rental industry or related field.
  • Minimum of one year experience in project management.
  • High School Diploma or equivalent

Preferred Education and Experience:

  • 2-5 years of experience in A/v rental industry or related field.
  • 2-5 years of experience in project management.
  • Associates Degree or industry related Certification
